Use the Alert Rules list to review, edit, copy, activate, deactivate, or delete Alert Rules, and to manage the Resolution Codes staff choose from when they resolve an alert.
Each rule shows its status, name, severity and alert type, the locations and dispensers it covers, its conditions, and its notifications. Use this page to keep alert coverage and notifications up to date as your dispensers, teams, or response workflows change.
Before you begin
- You're signed in to Hand Hygiene with the Administrator role. Alert Rules are under Settings, which only the Administrator role has access to.
View and find Alert Rules
- From the Kontakt.io Launchpad, open Hand Hygiene.
- Go to Settings > Alert Rules.
- Review the Alert Rules list.
Each rule shows:
- Status: A toggle that turns the rule on or off, with Enabled or Disabled.
- Name: The rule name, with its severity and alert type (Refill level or Escalation) beneath it. Select the name to open the rule's details, which are read-only.
- Affected Locations: What the rule covers — either the campuses, buildings, and floors selected on the Locations step, or the departments, depending on which option the rule uses.
- Applies to: The dispensers covered by the rule — all of them, the selected Dispenser Types, or the individually selected dispensers.
- Conditions: The condition associated with the alert type, including the refill level that triggers the alert.
- Notifications: The notification methods configured for the rule, and whether it has reminders or escalations. See About Alert Rules actions and notification recipients.
- Created and Updated: When the rule was created and last changed. Created is hidden by default.
- Actions: Icons to edit, copy, or delete the rule.
You can choose which columns to show, and reorder or resize them.
Use Search to find a rule by name. Search matches the rule name only. Use the filters to show rules by Alert Type (Refill level or Escalation) or by Status (Enabled or Disabled).
Edit an Alert Rule
You can edit a rule from the Alert Rules list.
In the Actions column, select the edit icon. If the rule's details are open, select EDIT.
-
Update the rule details as needed, such as:
- Rule name or description
- Severity
- Locations — the campuses, buildings, and floors, or the departments, the rule covers
- Dispensers covered by the rule
- The refill level that triggers the alert
- Notification methods and recipients
- Reminders
- Escalations
Review the Summary step.
Select Save.
Changes apply to alerts triggered after you save the rule. Existing alerts are not changed.
Note: On the Locations step, Location and Department are alternatives — a rule uses one or the other, not both. Switching from one to the other clears what was already selected, so reselect what the rule should cover before saving.
Copy an Alert Rule
Copy an Alert Rule when you want to create a similar rule without starting from scratch.
In the Alert Rules list, find the rule you want to copy.
-
In the Actions column, select the duplicate icon.
The copy is saved immediately, named after the original with "Duplicate" added to the end — for example "ICU dispensers: Refill level Duplicate". Reminders and escalations are not copied. The copy has the same status as the original, so a copy of an active rule is active as soon as it is saved.
In the Actions column, select the edit icon on the copy.
-
Review every step of the copied rule, and change what should be different, especially:
- Rule name
- Locations — the campuses, buildings, and floors, or the departments, the rule covers
- Dispensers covered by the rule
- The refill level that triggers the alert
- Notification methods and recipients
Add any reminders and escalations the copy needs.
Select Save.
Copying is the practical way to handle rules that differ only by location or by refill level — copy the rule that works, change the one step that differs, and save. Give the copy a name that distinguishes it from the original, because both names appear in the Alerts list.
Activate or deactivate an Alert Rule
Use the status toggle to turn an Alert Rule on or off.
In the Alert Rules list, find the rule you want to update.
In the Status column, turn the toggle on or off.
-
In the confirmation dialog, review what the rule covers.
The dialog is titled "Enable “
”?" or "Disable “ ”?". It summarizes the rule's Applies to, Locations, and Notifications, and explains the effect: "Monitoring starts immediately. Alerts and notifications will be sent whenever this rule's conditions are met." or "Monitoring stops immediately. No one will be alerted or notified when this rule's conditions are met until it's enabled again." Select Enable rule or Disable rule. To leave the rule as it was, select Cancel.
An active rule can trigger alerts and send notifications. An inactive rule does not trigger alerts or send notifications.
Hand Hygiene can still track refill levels and flag dispensers as low on refill for dispensers covered by an inactive rule, but no alert is triggered until the rule is active again.
Important: Deactivate a rule with caution. The status toggle applies to the rule, not to the person who changes it. Deactivating a rule turns off alerting for every dispenser it covers, in every location it covers, for everyone. If it was the only active rule covering a dispenser, no one is notified when that dispenser is low on refill — the refill level is still tracked and still shown in Dispensers Management and Dispensers Telemetry, but nothing alerts anyone to it. In a multi-site account, deactivating a rule can leave whole facilities without refill alerting while the dispensers continue reporting normally.
Before deactivating a rule, check what else depends on it: which dispensers it covers, whether another active rule covers them, and whether an Escalation Alert Rule is assigned to it.
When you turn off an Escalation rule that other Alert Rules use, two messages replace the confirmation dialog:
- The first message reads "Are you sure you want to disable and not just modify? You're impacting the following alert rules:" and lists the Alert rules that use this escalation. Select Modify to edit the Escalation rule instead, Cancel to keep it active, or Continue.
- The second message reads "Please confirm you want to disable it; this action will be logged in our system." Select Disable, or Back to return to the list of affected rules.
Deactivating is the right choice for a rule you expect to need again — during a refit when a wing is out of use, for example, or while you are testing a replacement rule.
Reduce notifications without deactivating a rule
The status toggle is not a personal notification setting, so it is the wrong tool for reducing the alerts one person receives. If specific people are receiving too many notifications, or the wrong people are being notified, that is managed in the rule's Actions settings:
- Change who is notified. Remove the recipients who should no longer be notified, and add the ones who should. Recipients can be selected as Users and User groups, or added as individual email addresses and phone numbers.
- Where responsibility is divided by location, use a separate rule for each campus, building, floor, or department, each with its own recipients. Every location stays covered, and each recipient is notified only for what they are responsible for.
- If the problem is how often notifications arrive rather than who receives them, adjust or remove the rule's reminders.
- If alerts are arriving earlier than anyone can act on them, lower the refill level on the Conditions step rather than turning the rule off. Alerting at 10% instead of 25% reduces the number of alerts without leaving any dispenser uncovered.
See About Alert Rules actions and notification recipients.
Delete an Alert Rule
Delete a rule only when it is no longer needed.
In the Alert Rules list, find the rule you want to delete.
In the Actions column, select the delete icon.
-
Confirm the deletion.
If the rule is an Escalation rule that other Alert Rules use, you're asked to confirm twice. The first message reads "Are you sure you want to delete and not just modify? You're impacting the following alert rules:" and lists the Alert rules that use this escalation. Select Modify to edit the Escalation rule instead, Cancel, or Continue. The second message reads "Please confirm you want to delete it; this action will be logged in our system." Select Delete, or Back to return to the list of affected rules.
Deleting a rule does not affect alerts that were already triggered.
If the deleted rule was the only active rule covering a dispenser, that dispenser is no longer covered by an active Alert Rule and no one is notified when it is low on refill.
Deleting is permanent. If there is any chance the rule will be needed again, deactivate it instead.
Manage resolutions
Resolutions are the Resolution Codes staff choose from when they resolve an alert. Hand Hygiene uses the platform defaults until you set your own.
Go to Settings > Alert Rules.
Select Manage resolutions. The Resolutions window opens.
To set your own list, turn off Use platform defaults.
-
For each resolution:
- Choose a Type. Choosing a type also fills in the Name if it is empty.
- Enter a Name, up to 100 characters. This is the name staff see when they resolve an alert.
- Under Alert types, select All types, or choose the alert types the resolution applies to.
Select Add resolution to add another resolution, or the Remove icon to delete one.
Select Save.
To return to the platform defaults, turn on Use platform defaults and select Save.
Editing or reverting resolutions does not affect alerts that are already resolved.
