Assign a badge to staff

Assigning a Smart Badge to a staff entity in Kio Cloud links the badge to the person who wears it. After the assignment is saved, the badge is ready for use in Staff Safe. Complete this workflow for every staff member who needs a badge.

Before you begin

  • Signed in to Kio Entity Manager
  • The staff entity exists in Kio Cloud. Kio Entity Manager does not create staff entities — create them in Entity Manager, Company Settings, or the relevant Kio App (Staff Safe or other) before starting.
  • The badge is in Device Management inventory. Devices are added to inventory by claiming the Order ID from the Kontakt.io packaging or order confirmation email in Device Management. See Supported tag and badge models for the accepted models.
  • Camera access is granted to Kio Entity Manager
  • Bluetooth is on
  • Internet connection (Wi-Fi or mobile data)

Steps

  1. On the Select Action screen, tap Assign Badge to Staff.

  2. Scan the badge by pointing the camera at the QR code on the front of the Smart Badge. To enter the MAC or unique ID by hand, tap Enter MAC / ID.

  3. Wait for Verifying Badge exists in Kio Cloud to finish. If the badge is not found, the app shows Badge ID Not Found. Confirm the badge's Order ID is claimed in Device Management, then retry.

  4. Scan the staff badge or employee ID barcode that identifies the Staff ID. To enter it by hand, tap Enter Staff ID.

  5. Wait for Verifying Staff ID exists in Kio Cloud to finish. If the staff entity is not found, see Asset or staff entity not found.

  6. On the summary screen, review:

    • Staff ID (the External ID you scanned)
    • Kio Badge ID
    • Kio Badge MAC

    The note field is filled in with an auto-generated description. Edit it if you need to add detail. See Default note format.

  7. Tap Submit.

  8. Wait for Syncing badge and staff assignment with Kio Cloud to finish.

What happens next

The app shows Success! Badge Assigned. The badge's deployment status in Device Management changes to Deployed, and the note is saved to its profile. On Android, the app also records your name and email on the profile. The staff member appears with an active badge in Staff Safe.

Tap Assign Next Badge to continue with another staff member, or Exit to return to the Select Action screen.
