Use Staff Safe to respond to staff duress alerts, view alert trends, find staff, and manage app settings. The features available to you depend on your assigned Staff Safe role.

Sign in to Kio Cloud
Use the latest version of a supported browser:

Step 1: Open your organization’s sign-in page
In your browser, go to:
https://[Tenant ID].app.cloud.[us or uk].kontakt.io
- Tenant ID is the unique name of your organization’s account.
- us or uk identifies the geographic region where the account is hosted.
Step 2: Choose a sign-in method

Email and password: Enter your email and password, then select Sign In. Use this method if your organization has not enabled Single Sign-On (SSO).
You must activate your user profile from the welcome email before you can sign in. If you did not receive the email, check your spam or junk folder or contact your administrator.
Single Sign-On (SSO): Select your organization’s SSO method, then enter your credentials. Use this method if your organization has integrated SSO with Kio Cloud.
Your assigned app roles determine which apps and features you can access. Users with the User Management Administrator role manage these assignments.
Open Staff Safe
From the Kontakt.io Launchpad, select Staff Safe.
The menus you see depend on your assigned Staff Safe role.
View and respond to alerts
Use the Alerts menu to respond to active staff duress alerts and review resolved alerts.
Use Simple View for active alerts
Simple View is designed for responders. It displays active alerts for the selected location with key details and enhanced visuals for quick action.
Review alert details
- Staff details: Shows the staff member’s name and last reported campus, building, floor, and room. If the staff member moves, the location updates automatically and the location timer restarts.
- Last location update: Shows the time elapsed since the most recent location update.
- New alert visual cue: Uses the alert severity color as the background for a new, unacknowledged alert.
- Acknowledged alert visual cue: Changes the alert background from the severity color to white after acknowledgment.
- Alert actions: Select Acknowledge when you begin responding. After the incident is handled, select Resolve and choose a required Resolution Code. A resolved alert is removed from Simple View.
Follow the staff location on the map
- A red circle identifies the staff member’s last reported location.
- The location indicator moves when Staff Safe receives a new location update.
Filter alerts by location
- Selected location: Show alerts for the locations you select. Choose one type of location at a time — Campus, Building, Floor, or Department. Building, Floor, and Department are selected within a single campus.
- Floor-level alert list: See the number of active alerts on each floor, and a visual cue for floors that need attention.
Use List view to review all alerts
The List view displays all active alerts by default and where you can also access Alerts History to review alerts that have been resolved.
Select the name of an alert to view its profile, which includes:
- Alert details: Review all alert information and key metrics, including the time to acknowledge.
- Activity timeline: Review a timestamped record of the alert activation, acknowledgment, resolution, and notes added during status changes. If the Alert Rule uses a webhook, the timeline also includes each webhook event and its details.
- Alert incident report: Download a PDF containing the alert details and activity.
Understand the alert lifecycle
An alert moves through three statuses from activation until the incident is closed. Each status change is recorded in the Activity Timeline with the user and time, creating an auditable incident record.

View alert analytics
Use the Dashboards menu to monitor alert trends, response times, and resolutions. Select a bar, location, or chart segment to view more detail or filter the data.
Note: Dashboards requires the Administrator, User, or Viewer role. The Alerts User role doesn't see it.
Filter dashboard data
Filter metrics by:
- Resolution Code: View one, multiple, or all Resolution Codes.
- Location: View data by campus, building, or floor.
- Date range: Use a preset time frame or set a custom date range.
Review overall metrics
- Alerts: Total number of alerts for the selected filters.
- Average alerts per day: Average number of alerts activated each day.
- Average time to acknowledge: Average time from alert activation to acknowledgment. Use this metric to understand how quickly responders acknowledge alerts and begin taking action.
- Average alert duration: Average time from alert activation to resolution. Use this metric to understand how long alerts remain active and identify trends that may need attention.
Explore additional metrics
- Alerts by role: Identify which Staff Roles activate the most alerts.
- Alerts by location: Identify areas with the most alerts by room, floor, or building.
- Alerts by day, week, and time: Identify peak incident days and times.
- Response time: Compare response times by hour, floor, or building.
View staff details
Use the Staff menu to view staff profiles and locations from a map view. A staff profile includes the staff member’s settings, last reported location, and location history.
Note: Staff location history can be disabled by account. If you don't see Location History from a staff profile, it has been disabled in your organization's account.
View staff on the map
Use the Map View to view staff locations by floor on an interactive floor plan. It also shows room-level locations and active alerts.
Note: Map View is under the Staff menu and requires the Administrator or User role. Responders with the Alerts User or Viewer role don't see it. See About user access to Staff Safe.
- Navigate by campus, building, and floor.
- View room-level staff locations and filter staff by role.
- See which staff members are in a specific room.
- View active alerts by floor. The Alerts tab lists the staff members with an active alert on that floor. Select a staff member with an active alert on the map to view additional details.
Find staff in List view
List view provides a searchable and filterable list of staff. Choose which columns to display so you can focus on the information important to you.
To open a staff profile, select the staff member’s Staff ID, Name, or the edit icon in the Actions column.
The profile includes the staff member’s settings, assigned Smart Badge (Tag), last reported location, and location history.
Manage Staff Safe settings
The Settings menu contains the administrative features for Staff Safe. Only users assigned the Staff Safe Administrator role can access this menu and its submenus.

Staff Roles
Staff Roles categorize staff, typically by their organizational role or position. Every staff member must be assigned to one Staff Role.
Staff Roles:
- Appear in alert metrics.
- Can be assigned to Alert Rules.
- Can also be managed as Entity Types in Company Settings.
Staff
Staff are the people assigned to wear Kontakt.io Smart Badges. You can also manage staff as Entities in Company Settings.
Staff Groups
Staff Groups segment staff beyond their assigned Staff Role.
- A staff member can belong to multiple Staff Groups but only one Staff Role.
- An Alert Rule can use Staff Groups to specify which staff it applies to.
- Staff Groups can be created and managed only in Staff Safe.
Alert Rules
Alert Rules define the conditions that trigger staff duress alerts and determine who receives notifications.
Each Alert Rule specifies:
- The monitored locations.
- The badge button event that triggers the alert: blue, red, or any button.
- The staff the rule applies to.
- The alert notification recipients.
- The notification methods: email, SMS text, or webhook.
Webhooks deliver alert events to a third-party system. Configure webhooks in Company Settings, then assign them to Alert Rules.
Alert Rules can be created and managed only in Staff Safe.
