Groups let you organize users into named collections that share application roles and campus access. Assign roles and campuses to a group once — every member inherits them automatically. Groups are available to all Kio Cloud accounts.
Note: User Groups in the Users app are not the same as Staff Groups in Staff Safe. User Groups organize Kio Cloud users for shared roles and campus access; Staff Groups organize badge wearers for alerting. This article covers User Groups.
What Groups are used for
Groups serve these purposes across the Kontakt.io platform:
- Role assignment — assign application roles to a group and all members inherit those roles automatically, without configuring each user individually
- Campus access — assign campuses to a group and all members can access those campuses; if a user belongs to multiple groups, they get the combined campus access of all their groups
Some Kio Cloud apps, such as Temperature Monitoring and Staff Safe, can also reference a Group in their alert handling. How a Group is used in those apps is described in each app's own documentation.
Group types
Groups are either Managed or SSO.

|---|---|
| Managed | Created and managed within the platform. Members, roles, and campus assignments can be edited at any time. |
| SSO | Synced automatically from your organization's identity provider when users sign in. Group membership is managed in your identity provider — it cannot be edited in the platform. |
SSO groups appear in the Groups list, but their members, roles, and campus assignments cannot be changed in the platform. Group membership changes made in your identity provider take effect the next time the user signs in to the platform.
What members inherit from a Group
When a user is added to a Group, they automatically inherit:
- All application roles assigned to the Group — they do not need to be assigned these roles individually
- All campus access assigned to the Group — if they are in multiple Groups, their campus access is the union of all Groups they belong to
Changes to a Group's roles or campuses apply to all members immediately. Removing a user from a Group removes the inherited roles and campus access, unless the user has those roles or campuses assigned directly on their user profile.
Groups in other apps
Some Kio Cloud apps reference a Group when handling alerts. Because that behavior is defined and managed in those apps, review the app's own documentation before changing or deleting a Group that other apps depend on. Deleting a Group can affect any app that references it — see Delete a Group.
Who can manage Groups
Creating, editing, and deleting Groups requires the User Management Administrator role.
