Provision a badge to staff

Provisioning covers both halves of giving someone a badge: assigning it to their profile in the system, and physically handing it over.

Before you begin

  • To assign the badge in Kio Entity Manager:
    • The Mobile User role in Entity Manager.
    • Bluetooth enabled on your mobile device.
    • Internet connection (Wi-Fi or cellular) on your mobile device.
  • To assign it in the Hand Hygiene web app: the Administrator, User, or Contact tracer role in Hand Hygiene. Administrators edit staff profiles from Settings > Staff; the User and Contact tracer roles edit them from Management > Staff. Both let you set the Assigned Tag.

Kio Entity Manager communicates with the badge over Bluetooth, and uses the internet connection to sync the assignment back to Kio Cloud. Both connections are required.

Provisioning a Smart Badge combines two steps: assigning the badge to the staff member's profile in the system, and physically handing the badge to the staff member. Most teams do both at the same time using the Kio Entity Manager mobile app, on the floor with the staff member.

To provision a badge:

  1. Open the Kio Entity Manager mobile app and select Assign Badge to Staff.
  2. Scan the QR code on the front of the Smart Badge. To enter it by hand instead, select Enter MAC / ID on iOS or Enter MAC on Android, enter the badge's MAC address or Unique ID, and select Submit.
  3. Scan the barcode that identifies the staff member's Staff ID. To enter it by hand instead, select Enter Staff ID, enter the Staff ID, and select Submit.
  4. On the Summary screen, check the Staff ID and the badge, review the device note, and select Next.
  5. When Success! Badge Assigned appears, hand the badge to the staff member and make sure they know how to wear it.

If Badge ID Not Found appears with The scanned or entered ID does not exist in Kio Cloud., the badge isn't in your organization's Kio account yet. Confirm the badge's Order ID is claimed in Device Management, then try again. See Claim and add devices with your Kontakt.io Order ID.

If Staff ID Not Found appears, no staff profile has that Staff ID yet. To create one without leaving the app:

  1. Select Create Staff.
  2. For Staff Type, choose the staff member's Staff Role.
  3. Enter the Staff Name, and check that the Staff ID is correct.
  4. Fill in any required fields for that Staff Role, then select Next.

The app creates the staff profile and continues to the Summary screen. The new profile has no Assigned Home Location. Set it afterward in Hand Hygiene by opening the staff profile and selecting Edit, so the staff member's results count toward their department. See Add a staff member. To use a different Staff ID instead, select Back.

If Badge Cannot Be Assigned appears, that badge is already assigned to another staff member. Select Assign Different Badge and use another badge. If the staff member already has a badge, the new one replaces it. See Replace a Smart Badge.

You can also assign a badge from the Hand Hygiene web app, from Settings > Staff (Administrator) or Management > Staff (User and Contact tracer). Open the staff member's profile, select Edit, and set the Assigned Tag by searching for the badge by its Unique ID or MAC address (there's no scan). The list shows only badges that are not already assigned to someone. Select Save, then distribute the physical badge separately. The on-site flow in Kio Entity Manager is preferred when you can combine the assignment and the badge distribution into one visit, because it lets you scan the badge in hand.
