The Hand Hygiene Settings page is where administrators define how the system interprets the signals it receives: which staff are part of Hand Hygiene, which dispensers are monitored, which rooms are patient care areas, and what counts as a hand hygiene opportunity. The settings turn raw badge and dispense data into the compliance numbers that appear on the Compliance Analytics and All Opportunities pages.
What administrators are responsible for
The Hand Hygiene Administrator owns the configuration that makes compliance data trustworthy.
- Configuration accuracy. Settings reflect the real layout of your facility, the real Staff Roles in use, and the real workflow expectations for hand hygiene.
- Ongoing maintenance. As staff join and leave, rooms change function, and dispensers are added or replaced, Settings stay current.
- Program governance. Compliance data supports program-level improvement work. The Administrator is the gatekeeper for keeping it out of individual disciplinary use in your organization.
User accounts and access permissions are managed in the Kio Cloud Users app, not in Hand Hygiene Settings. The Hand Hygiene Administrator role itself is granted there.
What's managed in Settings
Settings group into logical layers. Configure them in order. Each layer depends on the one before it.
Staff layer
The staff layer defines who is part of Hand Hygiene and how the system categorizes them.
- Staff Roles: Categories used by the opportunity logic, for example Nurse, Physician, or Environmental Services. Staff Roles drive the Staff Type Rules that determine when an opportunity is generated in a given Room Type.
- Staff: Individual Staff profiles. Each profile has a Staff Role assignment and a linked Kontakt.io Smart Badge. The badge's unique identifier links the staff member to all opportunities and dispense events associated with their badge.
Dispenser layer
The dispenser layer defines which physical dispensers report dispense events to the system.
- Dispenser Types: Categories used to group dispensers logically, for example soap, sanitizer, in-room, or hallway. Dispenser Types support structured analysis and define the attributes collected per dispenser.
- Dispensers: Individual physical dispensers, each linked to its installed Dispenser Beacon and assigned a Dispenser Type. Dispensers must be within range of a gateway (a Portal Light or Bluetooth-compatible Wi-Fi access point) for their Dispenser Beacons to report.
- Dispensers Configuration: The Low Refill Threshold control on the Dispensers Configuration card of the Settings page. It sets the dispenser refill level, as a percentage of full capacity, below which a dispenser is flagged as low on refill. Set it from 0 to 100% in steps of 5; the default is 25%. Only the Administrator role can change it.
Room layer
The room layer defines the spatial logic Hand Hygiene uses to interpret room visits.
- Room Types: Categories of rooms or care spaces, for example Patient Room, Procedure Room, or Common Area. Room Types determine which spaces are patient care areas, when hand hygiene is expected, and how wash-in and wash-out logic applies. Staff Type Rules attached to each Room Type set the role-by-room expectations.
- Room Matching: Maps each physical room from Smart Location to a Room Type. Room Matching must be accurate. If a room is matched to the wrong Room Type, staff location signals are interpreted against the wrong opportunity logic, which is the most common cause of unexpected data on the Compliance Analytics page.
Opportunity layer
The opportunity layer defines the rules that turn matched visits into compliance data.
-
Opportunity Configuration: The system-wide rules for evaluating visits and dispense events, set in the Opportunity Configuration section of the Hand Hygiene Configuration card on the Settings page. Three timing sliders (shown in seconds) and a Compliance Thresholds control govern the logic:
- Minimum Visit Duration: the minimum time a staff member must be in a room for the visit to create an opportunity. Set from 0 to 300 seconds in steps of 10.
- Valid Wash-In Period: the window before room entry during which a dispense event counts as a wash-in. Set from 0 to 120 seconds in steps of 5.
- Valid Wash-Out Period: the window after room exit during which a dispense event counts as a wash-out. Set from 0 to 120 seconds in steps of 5.
- Compliance Thresholds: A single range slider with two handles sets the boundaries between three performance zones — Needs Work (red), Okay (yellow), and Good (green). One handle sets the boundary between Needs Work and Okay; the Good handle sets the boundary between Okay and Good, which is your full-compliance target. Each handle moves in steps of 5%. The rankings on the Compliance Analytics page use these zones to color compliance results, and the Compliance Over Time chart draws the target as a line.
Dispenses Distribution Algorithm: The rule that decides whose opportunity a dispense is credited to. It changes your measured compliance without anything changing on the floor, and it cannot be changed from the app — the change is requested through Kontakt.io Support. Where the card is shown, it also offers a Preview for comparing modes against your own data. See About the Dispenses Distribution Algorithm.
Rewards layer
The rewards layer applies when your facility holds Raffles.
- Rewards: Configure the prizes in the Raffle that nurses earn. Set up Rewards before nurses begin using the Kio Nurse Assistant mobile app.
Validation
- Test Mode: A real-time view of badge activity, room visits, and dispense events as Hand Hygiene processes them. Use Test Mode during deployment and after configuration changes to verify badge and room detection, confirm dispense events are captured, and troubleshoot without changing the Compliance Analytics page. Once Hand Hygiene is live, return to Test Mode only when validating a change.
