A user is someone that requires access to your organization's Kontakt.io platform account and apps. User access and permissions to each app is managed by their assigned role within each of the apps.

Adding a user is required to provide them access to your organization's account. Once added, they are required to be assigned to a role within each app they require access to.

From your Kontakt.io Launchpad, select Users.

Select the Add User option.

Enter their settings. The user will sign in to with the email address provided.

First and Last Name: the user's full name as it appears within the Kio-solution based apps.

Email address: their sign-in credential, alongside their user-defined password.
A user's email can only be associated with a single Kio Cloud account.

Unique Ext ID (optional): a secondary unique identifier. This ID is used by specific Kio solution-based apps and is recommended to be provided. For example, this maybe be their unique employee ID within your HR management system.

Select Add User.
The new user receives an activation email from Kontakt.io with the steps to activate their user account and set their password.
The roles assigned to a user grants their access and permissions to the apps activated in your organization's account.

Each role consists of a set of permissions, which affect all users assigned to that role. For example, an app Administrator role has full permissions to all features, while other roles will have restricted permissions.

A user can be assigned to one or multiple apps.

If a user is not assigned a role within an app, the app will not appear in their Launchpad, effectively restricting access.

From your Launchpad, go to the Users app > from the left-menu, select Users Management.

From the user list, locate the user's Name > select their name. This displays their user profile.

From the Roles for Apps section, select Edit.

To assign a role, from an app > select a role to assign and to remove a role deselect the role.

Select Save.
To update a user's name or Unique Ext ID, perform the following. If you need to update their email address, submit a request to our support team.
This feature controls a user's sign-in access. Disabling a user effectively suspends their access without permanently removing their user profile.

From your Launchpad, go to the Users app > from the left-menu, select Users Management.

From the user list, locate the user's Name > select their name. This displays their user profile.

From the user enabled toggle located in the upper-right corner, slide the toggle to the left to disable the user (red) or slide the toggle to the right to enable the user (green).
This action will permanently remove their user profile. All historical data associated to their user profile activity is retained in the platform.
This action generates an automated email to the user with instructions to reset their password.
