A user is anyone who needs access to your organization’s Kio Cloud account. Kio Cloud uses role-based access control (RBAC). User access and permissions are determined by their assigned app roles. If a user isn’t assigned a role within an app, that app won’t appear on their Kontakt.io Launchpad.

You must be assigned the User Management Administrator role to view and manage users.

Roles grant users their access and permissions to each of the apps activated in your Kio Cloud account. For example, an app Administrator role has full permissions to all features, while other roles have restricted permissions.

You’ll see the Assigned Home Location setting (campus, department) in a user’s profile only if your organization has at least one Kio solution–based app activated, such as Asset Tracker or Temperature Monitoring.

To set campus-level access to one or multiple campuses for users, Kontakt.io must first enable this feature. By default, each user has access to all campuses.

If you need to update a user's email address, submit a request to our support team.

From your Kontakt.io Launchpad, select Users.

A list of all users appears. From here, you can:
Search for users or apply column filters.
Select a user’s Name to view their profile and edit settings, assigned roles, or enable/disable their user profile.
Delete a user from the Action column.

From your Kontakt.io Launchpad, select Users.

From the upper-right corner, select Add User.

Enter their user-specific settings:
First Name, Last Name, Email
Unique Ext. ID: a secondary unique identifier; maximum of 35 characters. For example, it may be their unique employee ID within your HR management system.
Sign-in method two options:
Password (default value): select if your organization isn’t integrated with single sign-on (SSO). Users sign in using email and password.
SSO_RA: select if your organization's Kio Cloud account is integrated with SSO. Users authenticate using their SSO credentials.

Select Add User.
Users with the Password sign-in method receive an activation email to set their password. Users with the SSO_RA sign-in method can now sign in with their SSO credentials.

Next, return to their user profile to assign their app roles.
Roles determine which apps a user can access and what actions they can perform. If a user doesn’t have a role assigned for an app, that app isn’t displayed on their Kontakt.io Launchpad.

From your Kontakt.io Launchpad, select Users.

Select the user’s Name to open their profile.

From the Roles for Apps section, select Edit.

For each app:
Select a role to grant access.
Deselect a role to remove access.

Resetting a password sends an automated email with reset instructions to the user.
Disabling a user prevents them from signing in without permanently deleting their user profile.

From your Kontakt.io Launchpad, select Users.

Select the user’s Name to open their profile.

Locate the User enabled toggle located in the upper-right corner.
Enable: Toggle right (green).
Disable: Toggle left (red), then confirm.
This action permanently removes their user profile. All Kio Apps historical data associated to their user profile is retained.
