Kio Entity Manager is the Kontakt.io mobile app for assigning Kontakt.io tags to assets and Smart Badges to staff. After a tag or badge is assigned, Kio Cloud knows which device represents which person or piece of equipment, so each one appears correctly in your Kio Apps.
Available for iOS and Android, the app connects to Kio Cloud over the internet to verify each device, look up assets and staff, and save each assignment. It reads tags directly through the mobile device's NFC and camera. Bluetooth must be on for any workflow to finish.
Navigating the app
Kio Entity Manager opens to the Select Action screen after sign-in. The screen lists the workflows your device supports.
Assign Tag to Asset — Assigns a Kontakt.io tag to an asset entity in Kio Cloud. Available on iPhone, iPad, and Android.
Assign Badge to Staff — Assigns a Smart Badge (or an Asset Tag 2 used as a badge) to a staff entity. Available on iPhone, iPad, and Android.
Activate Sticker Tag — Activates a Sticker Tag, a one-time step that must be done before the tag is assigned. Available on iPhone and Android only (iPad has no NFC reader).
The sign-out icon is on the same screen, in the corner. Sign out from there when you are done.

How it connects to the platform
Kio Entity Manager uses several connections during a workflow.
Kio Cloud (internet) — Device inventory, asset entities, staff entities, and the saved assignment all live in Kio Cloud; the app must reach it to verify and save changes. A valid Kio Cloud session is required before any workflow can begin.
Bluetooth — Tags and Smart Badges communicate over Bluetooth, so Bluetooth must be on. The app prompts you to turn it on if it is off.
Camera — Required for every QR or barcode scan.
NFC — Required only on the iPhone Sticker Tag path and the Activate Sticker Tag workflow (iPhone and Android).
Who uses it and what roles are required
Kio Entity Manager is used by anyone in your organization who attaches Kontakt.io tags to equipment or hands out Smart Badges to staff — commonly biomedical engineering teams, asset coordinators, nurse managers, and unit coordinators.
To use the mobile app, users must be assigned the Entity Manager Mobile User role. This is the only Entity Manager role that grants mobile access; web roles (Staff Manager, Asset Manager) do not grant mobile access on their own. Roles are assigned by a Kio User Management Administrator.
How Kio Entity Manager fits in the Kio platform
| Tool | What it does |
|---|---|
| Kio Cloud | Platform administration — Smart Location, Device Management, Users, Company Settings, Entity Manager, and entry point to Kio Apps such as Asset Tracker and Staff Safe |
| Kio Setup Manager | On-site installation of infrastructure (Portal Lights, Beam Minis, Anchor Beacons, Temperature Monitors, and others) — installs the network that picks up signals from tags and badges |
| Kio Entity Manager | Assigns tags to assets and Smart Badges to staff (this app) |
Before Kio Entity Manager can complete a workflow, the following must be in place in Kio Cloud:
- Asset and staff entities — created in Entity Manager, Company Settings, or the relevant Kio App (Asset Tracker, Staff Safe, IV Pump, Wheelchair Manager, or other). Kio Entity Manager does not create new entities.
- Tags and Smart Badges — added to Device Management inventory by claiming the Order ID from your Kontakt.io packaging or order confirmation email.
- Smart Location — campus, building, floor, and rooms mapped in Kio Cloud, so the Kio Apps have the spatial layout they rely on.
