Add a user to give them access to your organization's Kio account. This task covers adding a user that is managed directly in the Users app. If your organization uses SSO, users are provisioned through your identity provider rather than added directly in the Kio Cloud Users app.
Before you start
- Required role: User Management Administrator
- Decide which sign-in method the user needs. Choose Password for a user managed in Kio Cloud, or SSO for a user who authenticates through your identity provider.
- A new user has no roles or campus access until you assign them. Plan what access the user needs. See Assign roles and access to a user.
Steps
From the Kontakt.io Launchpad, open Users.
From the side menu, select Users Management.
Select Add User.
Enter the user's First Name (up to 35 characters).
Enter the user's Last Name (up to 35 characters).
Enter the user's Email. The email address is the user's username.
(Optional) Enter a Unique Ext. ID. This value can be a unique identifier to match the user to a record in another system.
-
(Optional) Enter a Phone Number. Use international format with a country code, such as +14155550123. Spaces, parentheses, and hyphens are removed automatically. If the number is not in a valid format, the form shows Phone number invalid (use +1234567890).
The phone number is the number used when this person is selected as a recipient of a text message or phone call notification from an Alert Rule. A user without a phone number is not texted or called, and no error is shown, so add one for anyone who needs to be reached that way. To add or change a number after the user is created, see Add or change a user's phone number.
Choose the sign-in method — Password for a user managed directly in the Users app, or SSO (shown in the dropdown as
SSO_RA) for a user who signs in through your identity provider. To grant the user access to every campus, enable Allow access to all campuses. Otherwise, leave it off and assign specific campuses later.
Select Add User.
The user is created and appears in the Users list.
What to do next
For a Password user, they will receive an email with an activation link to set their own password. Ask the user to check their inbox, including spam or junk folders.
A new user must be assigned to a role in each app they require access to. Assign roles, Home Location, and campuses they can access the apps they need. See Assign roles and access to a user.
