Assign roles to grant permissions to the Kio Apps and access to campuses. You can assign roles directly to a user, set a Home Location, and grant campus access. This covers access assigned directly to an individual user.
Before you start
- Required role: User Management Administrator
- The user must already exist. See Add a user.
- To assign access through a Group instead of to each user individually, see About Groups.
Assign roles directly to a user
Roles assigned this way are called Direct Access roles.
- From the Kontakt.io Launchpad, open Users.
- From the side menu, select Users Management.
- Select the user you want to configure.
- Go to the Roles for Apps section and select the Direct Access tab.
- For each application, select the roles to assign from the dropdown.
- Select Save.
The user immediately has the assigned roles. The apps they can access depend on both their assigned roles and which apps are activated on your organization's account.
Set the Home Location
The Home Location scopes a user to one or more campuses and departments. Kio Cloud apps use it to determine which data the user works with by default.
- On the user's profile, go to the Assigned Home Location section and select Edit.
- Select a Facility (campus), then select one or more Departments within it.
- To cover more than one campus, add another entry. You can assign up to 30 entries, and each campus can be used only once.
- Select Save.
Note: The Home Location form labels the campus field Facility. This is the same campus shown as Campus on the Campuses section.
Assign campuses
Campus access controls which campuses a user has access to within each Kio App they have a role assigned to. Campuses assigned directly are editable; campusesinherited from a group are read-only and labeled with their group origin.
- On the user's profile, go to the Campuses section.
- To give the user access to every campus, turn on Allow access to all campuses. When this is on, the individual campus list is disabled because the user already has access to all of them.
- To grant access to specific campuses instead, leave Allow access to all campuses off and add each campus to the list.
- Select Save.
Result
The user's access is the combination of their Direct Access roles and campuses plus anything inherited from their groups. Confirm the access on the user's profile — Direct Access shows what you assigned here, and Group Access shows what is inherited.
