Maintaining the right number of medical equipment or mobile assets in each room is critical to keeping operations running smoothly—especially in high-use or resource-dependent areas. PAR Level tracking empowers staff to compare real-time room-level counts against Target (ideal) and Critical (minimum) thresholds so they can act before shortages disrupt care or workflow.

PAR Levels are set by Asset Types by floor and Room Types. You may have one to multiple Asset Types requiring PAR Level tracking within different room locations.
For those Asset Types requiring PAR Level tracking, you'll configure the following settings:

Target—the optimal quantity of assets that should be available to meet typical operational demand.

Critical—the minimum quantity of assets that must always be available. When the current count falls below this level, replenishment is required to avoid operational disruptions.
The system then continuously calculates:

Current count—the real-time quantity of assets by Asset Type that are currently present in each room by Room Type.
The system compares the current count to the target and critical thresholds:

If below the target threshold, replenishment may be recommended.

If below the critical threshold, alerts can be sent to notify staff that replenishment is required.
To ensure IV Pumps are always available when needed without overstocking, staff can use Asset Tracker to monitor real-time counts and maintain optimal inventory in Clean Storage Rooms. By configuring and monitoring IV Pump PAR Levels, facilities can operate with a leaner inventory while ensuring high availability.

These thresholds are applied by selecting the campus, building, floor, the Clean Storage room type, and then setting the PAR levels for the IV Pump Asset Type.
Daily workflow—Staff view the real-time PAR Level inventory
Each morning, an assigned staff member opens the Asset Tracker PAR Levels view to:

Sets a filter the view by the facility’s Clean Storage rooms and IV Pumps for the floor-level location they are responsible for.

Sets the view to display by Asset Type and checks real-time current counts of IV Pumps located in the Clean Storage rooms.

Identifies any PAR Levels at a Critical Status.

Replenishes the rooms with IV Pumps as needed, prioritizing those with a critical level (1 pump).
Staff receive alerts when IV Pump replenishment is required
If a room's IV Pump count reaches a critical level (1 pump), an Alert Rule is configured to notify staff, via an email or text message, that a replenishment is required. Alerts can also be sent to a third-party system via a Webhook.
To get the most value from PAR Level tracking, follow these best practices to ensure accurate setup, proactive monitoring, and valuable insights from the PAR Level analytics.

Configure PAR Levels by operational need. Work with clinical or operational staff to determine the right Target and Critical thresholds for each Asset Type and Room Type by floor.

Apply consistent Room Type and Asset Type naming. Ensure standardization to make it easier to monitor trends and apply changes at scale.

Focus on high-turnover or critical rooms. Prioritize areas with frequent asset movement or high-usage dependency.

Use alerts to automate replenishment workflows. Set up Alert Rules to notify staff when a PAR Level reaches a critical level by location.

Choose a Location (A—a campus and building) > select a Floor (B) > select a Room Type (C—you can select multiple Room Types to set multiple PAR Levels at once) > select to View by Asset Type or Room (D).

Your View By selection (Asset Type or Room), determines how the PAR Levels are displayed. From the list of Asset Types or Room Names > select a type or room or asset type(E) > select Edit (F).

For each Asset Type that requires PAR Level tracking, configure the following:
Target: Ideal quantity of assets that the location should have available to support normal daily operations. It's commonly determined by factors like asset demand, patient population, and the location's specific needs.
Critical: Minimum quantity of assets that the location should have on hand at all times. When the current count falls below this level, immediate replenishment is needed to prevent operational disruptions.

Asset Tracker will now use the PAR Level thresholds to monitor the count of assets in the rooms.
From the PAR Levels view, you can view the real-time PAR Level counts by floor for a specific Asset Type or Room Type. This view helps to quickly scan for shortages and take appropriate replenishment action.

Alerts provide a proactive method to notify staff when PAR Levels fall below their critical thresholds. These rules can automate the monitoring of your tracked PAR Level inventory—resulting in quicker restocking that can optimize inventory levels, reduce hoarding, and provide staff access to equipment when needed.
When creating an Alert Rule, you'll need:

The Asset Types the rule will monitor.

The Location the rule will monitor—including the Room Type(s), the Campus and Building, to specific floors when required.

How alerts are sent, either via email and/or text message, and who is to receive the alerts by providing their emaill addresses and/or mobile phone numbers.
Notifications can also be sent to a third-party system via a Webhook which setup within Company Settings.

The PAR Level Analytics dashboard provides a detailed view of how well assets maintain their defined PAR Level thresholds over time. It includes visual trends and performance metrics broken down by asset type, helping teams identify which assets may require attention, redistribution, or replenishment strategy adjustments.

From the Asset Tracker Analytics menu > select the Advanced view.

Set the Dashboard to display metrics by Asset Type (default) or Campus.

Set a time range using preset filters (e.g., Last 7 days) or a custom date range.

Apply dynamic filters from the Add Filter option to refine results by Location, Asset Type, or Room Type.

Choose a metric to display in the graph, such as:
Time in range %: percentage of time the PAR Level inventory stayed at or above the target level
Time in critical %: percentage of time the PAR Level inventory fell below the critical level
Number of drops to zero: number of times PAR Level inventory reached zero
