Effective Tuesday, December 16, 2025, we’re migrating Kio Cloud accounts that use the Kio Cloud legacy User Management—where user permissions are managed only in Device Management—to our unified Kio Cloud User Management system. This update standardizes user management across the Kontakt.io platform, introduces role-based access control (RBAC) by each app, and strengthens authentication. It also lays the foundation for future security enhancements, such as multi-factor authentication (MFA).
This update does not apply to Kio Cloud Tenant accounts. Tenant accounts already use the Users app, which is the unified Kio Cloud user management system.
User access and permissions will now be managed centrally from the Kio Cloud Users app. The Users app provides role-based access control (RBAC) for each Kio Cloud app activated in your account.
With the Users app:
- Only users assigned the User Management Administrator role can view, create, and manage account users and their assigned roles from the Users app (available from the Kontakt.io Launchpad).
- Each user has a unique profile, including their First name, Last name, email address, and assigned app roles.
- User access and permissions are controlled by assigned app roles.
- If a user is not assigned a role within an app, that app does not appear on their Kontakt.io Launchpad.
The update introduces a clear separation between:
- User management—adding and managing users and their assigned roles is managed from the Kio Cloud Users app. See Add and manage users.
- User app-level permissions—each user must be assigned to a role within each Kio Cloud app to grant access and permissions to that app (Users, Smart Location, Device Management, Policy Foundry). See Roles by Kio Cloud apps.
On or after December 16, you must sign in to Kio Cloud to migrate your user profile to the new User Management system. Ensure that all account users complete the steps below.
- Go to the Kio Cloud sign in page as usual (app.cloud.[us or uk].kontakt.io).
- You’ll be automatically redirected to the new sign in page (common.app.cloud.[us or uk].kontakt.io).
- Sign in using your existing email and password.
After a successful login:
- Your user profile is automatically migrated in the background.
- Your existing password continues to work—no reset is required.
- Your legacy role is mapped to the roles for each Kio Cloud app activated in your account. See Legacy role mapping.
- Your assigned roles are now managed from the Kio Cloud Users app by User Management Administrators.
Important
If you were assigned the legacy Super User role, your Kontakt.io Launchpad now includes the Users app, where you can manage users and their assigned roles.
Only users who have signed in and completed the migration appear in the Users app.
After you sign in, your legacy role is automatically mapped to the appropriate roles in the unified Kio Cloud User Management system.
