The Settings menu in Asset Tracker is where an Administrator configures how the app works for your organization—the asset types you track, how assets are grouped, the alerts that notify your team, and the app's display behavior. Some of these settings belong to Asset Tracker alone; others are shared platform configuration that you view in Asset Tracker but manage in Company Settings. Knowing which is which tells you where to make a change, and why an option is sometimes read-only.
Who can open Settings
The Settings menu and every item under it require the Asset Tracker Administrator role. Users with other Asset Tracker roles do not have access to Settings.
What's in the Settings menu
- Asset Types — Define the categories of assets you track (for example, IV Pump or Wheelchair), including their status values and attributes.
- Assets — Add, edit, import, and export the individual assets in your inventory.
- Groups — Organize assets into groups you can use to scope Alert Rules.
- Room Types — View the room types in your facility and set the status rules that automate an asset's status by the type of room it is in.
- Room Matching — View which physical rooms are matched to each room type.
- Alert Rules — Create the rules that trigger alerts when an asset enters or exits a location, or when a PAR Level reaches a critical threshold.
- Configuration — Turn Asset Tracker display behaviors on or off for your organization.
What you manage in Asset Tracker vs. Company Settings
Asset Types, rooms, and the assets themselves are shared platform components—the same records are used by other Kio Apps. Asset Tracker shows them so you can work without leaving the app, but the parts that define them for the whole platform are owned by Company Settings and appear read-only here. Use this table to know where each change is made:
| Settings item | In Asset Tracker you can… | Managed in Company Settings |
|---|---|---|
| Asset Types | Create and edit asset types—name, status values, and attributes | Icon and color, Assigned Applications, and deleting an asset type |
| Assets | Add, edit, import, and export assets | Deleting an asset |
| Groups | Create, edit, and delete groups; assign them to Alert Rules | — (Asset Tracker only) |
| Alert Rules | Create, edit, and delete Alert Rules | Webhook endpoints (configured in Company Settings, then selected in a rule) |
| Room Types | View room types and their profiles; set the Asset Type status rules for your asset types | Room type name, profile, and attributes; creating or deleting room types |
| Room Matching | View room matching | Match, edit, and remove room matching |
| Configuration | Turn Asset Tracker display behaviors on or off | — (Asset Tracker only) |
Note: Room Types and Room Matching are part of Room Management in Company Settings. When an option is read-only in Asset Tracker, make the change in Company Settings.
Why some settings are read-only
Asset Tracker reads the same asset types, rooms, and assets that every other Kio App uses. To keep that shared configuration consistent, each record's core definition is owned by Company Settings, while Asset Tracker exposes the parts that are specific to how your assets behave. For example, you set the status rule for an IV Pump located in a Soiled Utility room from Asset Tracker, but the room type itself—its name and profile—is defined once in Company Settings and used everywhere.
Where to manage each setting
Each Settings menu item is documented in its own article:
