Reports provide the audit trail for Kio Temperature Monitoring. They are downloadable records of readings, excursions, alert activity, and NIST calibration information that can support pharmacy board reviews, accreditation surveys, internal audits, and excursion investigations.
Use this quick start to understand what each report type covers, the two ways to generate a Report, and where to find Reports after they're generated.

When to use Reports
The Monitoring view shows current state. The Alerts list shows what needs action. Reports are for documented records over a selected time range.
Typical reasons to open Reports:
- A pharmacy board, accreditation surveyor, or internal auditor has asked for evidence of temperature control.
- An excursion is under investigation and you need readings and alert activity for the window around the event.
- A routine compliance cadence is due. For example, weekly Storage Unit history, monthly Room environmental log, calibration documentation at the device level.
- A user-access or configuration-change inquiry needs an Audit log report.
What reports include
Reports compile Temperature Monitoring records into downloadable files for review, inspections, audits, and investigations.
Depending on the report type, a Report can include:
- Temperature and humidity readings over a selected time range.
- Excursion events: when they started, how long they lasted, and when they ended.
- Alert activity tied to those excursions, including who acknowledged and resolved each alert.
- Storage Unit, Room, or Monitor identification and the assigned Threshold Setting.
- Probe or Monitor calibration status and NIST certification details.
- User activity events for the selected departments.
For reading-based Reports, the device logging rate in Advanced Preferences determines how often in-range readings are recorded. For example, a 15-minute logging rate produces one in-range data point every 15 minutes. When a reading stays out of threshold for 60 consecutive seconds, it is sent to Temperature Monitoring through nearby gateway infrastructure regardless of the logging rate, so excursion events appear promptly even when the normal logging interval is longer.

Reports, one-time reports, and Report Profiles
Three closely related terms appear throughout the Reports area. They are easy to mix up:

| One-time report | A Report you generate on demand for an ad-hoc need. You choose the report type, locations, and time range each time. The configuration is not saved. |
| Report Profile | A saved configuration that generates Reports automatically on a schedule (daily, weekly, monthly), or on demand without a schedule. Define the report type, locations, time range, and cadence once; the system delivers Reports at the configured interval. |
Reports are the files you download. One-time reports and Report Profiles are the two ways to create them.
Choose your method: one-time report or Report Profile
Use a one-time report for ad-hoc needs. Use a Report Profile when you need the same report again.

When choosing a method, keep these points in mind:
- Use a relative time range for Report Profiles. Select Last full week or Last full month rather than specific dates. Relative ranges adjust each time the report generates, so each Report covers the correct period with no gaps or overlaps.
- Report Profile coverage is fixed at save time. A Report Profile captures the Storage Units, Rooms, and Monitors selected when you save it. If you add new ones to your environment later, edit the profile to include them. New Storage Units, Rooms, and Monitors are not added to existing Report Profiles automatically.
- An on-demand profile is also an option. If you want a saved configuration without a schedule, turn on On-demand when you save the profile. Generate it manually whenever you need it; add a schedule later if the cadence becomes regular.
View and download generated reports
Generated reports appear in two places, depending on how they were produced. Generated Reports are permanent records. After a Report is generated, it remains available for download even if the Report Profile that created it is later edited or deleted.
- Reports History tab. The History tab in Reports lists every Report you have access to, including one-time Reports and Reports generated from Report Profiles. Reports generated automatically by a schedule show Scheduled in the Created by column. Use filters to narrow the list by report type, creator, Storage Unit, or Room, then download the Report from the row.
- A Report Profile's own history. Each Report Profile has its own history view that shows only Reports generated from that profile. Open Report Profiles, select the profile name, then select History to view and download its Reports.
Either way, the report row shows a status:
- In progress: the report is still generating. Refresh and check again.
- Download: the report is ready. Select Download to save the file.
- Report failed: generation failed and no file is available. Retry from the row, or generate the report again from Reports.
How reports differ from Monitoring and Alerts

The same underlying data feeds all three. Monitoring is the live picture. Alerts is the action queue. Reports is the formatted compliance output.
