Day-to-day work in Temperature Monitoring follows two flows. The Monitoring view is the ongoing picture: the status of each Storage Unit and Room and their measurement and alert history. Alerts is the response workflow, where something needs attention, an alert is triggered, notifications go out, and the alert must be acknowledged and resolved. This quick start covers both.
The two daily flows
| Flow | When you use it | What it answers |
|---|---|---|
| Monitoring view | Proactively, at the start of a shift or anytime you want a status check | Is everything reporting and in range? Is any Storage Unit or Room missing setup that would prevent alerts from triggering? |
| Alerts | Reactively, when you get an alert notification (email, text, in-app banner) | What's happened, what does it mean, and what do I do about it? |
The Monitoring view
The Monitoring view shows every Storage Unit and Room in your facility at a glance, with current readings, the assigned Threshold Setting, and a status. Open a Storage Unit or Room to drill into its full measurement and alert history.
Typical reasons to open it:
- Start of shift: confirm all your assigned Storage Units and Rooms are Online.
- Spot-check after maintenance: confirm a Monitor came back from Paused and is reporting again.
- Investigate a trend: open a Storage Unit's or Room's history to see readings before or after an event.
- Confirm setup completeness: catch Storage Units or Rooms in a setup required state before they become a compliance gap.
Status quick reference
Each Storage Unit and Room displays its current status. Statuses fall into three buckets. For the full per-status detail (what each means and what to do), see Storage Unit statuses and Room statuses.
Healthy: no action required
| Status | What it means |
|---|---|
| Online | The Monitor is reporting and readings are within the Threshold Setting. (The status filter labels this In range.) |
| Syncing | The Monitor is reconnecting and replaying locally stored readings. No action unless it persists past 10 minutes. |
Needs attention: investigate or respond
| Status | What it means |
|---|---|
| Excursion | A reading is outside the Threshold Setting. An alert is or will be triggered if an Alert Rule covers the Storage Unit or Room. |
| Not reporting | The Monitor has not sent a reading within the expected interval. Check power and nearby gateway Wi-Fi network connectivity. |
| Probe disconnected (Temp Pro only) | An external probe on a Temp Monitor Pro has disconnected; no readings from that probe input. |
| Low battery | Replace the Monitor batteries soon. |
| Sensor failure | The Monitor reported an internal sensor error. Readings may be unreliable; contact Kontakt.io Support. |
| Device error | The Monitor reported a hardware or functional error. |
| Data out of sync | The Monitor's recorded data has not synced to Temperature Monitoring. A recently configured Monitor may show this for a few minutes; if it persists, perform Synchronize Data for the Monitor in the Kio Setup Manager mobile app. See Synchronize a Monitor. |
| Paused | Threshold alerts are paused for planned maintenance (Monitor offline alerts still trigger). Readings continue to be logged. Turn off Paused mode in Kio Setup Manager when maintenance is complete. |
Setup required: something is missing
| Status | What's missing |
|---|---|
| Threshold setup required | No Threshold Setting is assigned. Excursions cannot be detected. |
| Alert setup required | No Alert Rule covers the Storage Unit or Room. Excursions are detected but no one is notified. |
| Monitor setup required | No Monitor device is installed and assigned. The Storage Unit is in the system but nothing is being recorded. |
Note: Setup-required statuses are silent risks. A Threshold setup required or Alert setup required will never alert, even when readings are out of range (excursion). When a Storage Unit or Room displays either of these statuses after a Monitor install, reach out to your Temperature Monitoring administrator or manager.
Alerts
Temperature Monitoring triggers five alert types. Each surfaces a different condition and requires a different response.
Threshold alert for Storage Unit
What it means: A Storage Unit reading went out of range (excursion) and stayed there past the alert delay.
Triggered when: A reading falls outside the assigned Threshold Setting, the threshold alert delay (company-wide or per-department) is reached, and an active Alert Rule covers the Storage Unit.
What to do
- Acknowledge the alert to signal someone is responding (and to silence the audible alarm on a Temp Monitor Pro; the Lite has no audible alarm).
- Go to the Storage Unit, open it, and inspect contents.
- Take corrective action per your facility's excursion SOP (close the door, restore power, move products).
- Resolve the alert with a Corrective Action and notes once the condition is stable and any affected products have been assessed or quarantined.
Threshold alert for Room
What it means: A Room's ambient temperature or humidity reading is out of range past the alert delay.
Triggered when: A Room reading falls outside the assigned Threshold Setting, the threshold alert delay (company-wide or per-department) is reached, and an active Alert Rule covers the Room.
What to do
- Acknowledge the alert to signal someone is responding (and to silence the audible alarm on a Temp Monitor Pro; the Lite has no audible alarm).
- Go to the Room and check HVAC, doors, windows, and any equipment affecting ambient conditions.
- Address the cause if you can, or escalate to facilities.
- Resolve with a Corrective Action once conditions are stable.
Hardware error alert
What it means: The Monitor reports a hardware fault (probe disconnected or failed, sensor error, or another onboard issue). Readings may be unreliable until it's fixed.
Triggered when: The Monitor reports an internal hardware fault and an active Alert Rule covers the Monitor.
What to do
- Acknowledge the alert to signal someone is responding (and to silence the audible alarm on a Temp Monitor Pro; the Lite has no audible alarm).
- Go to the Monitor to identify the cause. For a Temp Monitor Pro, verify the probe is securely connected.
- If you cannot resolve the alerting condition, contact your Temperature Monitoring administrator or installer. The Monitor likely needs service, a probe replacement, or full replacement.
- Resolve the alert once the hardware issue is corrected and the Monitor is reporting normally.
Monitor offline alert
What it means: The Monitor has stopped reporting past the configured offline threshold. Readings are not currently being received.
Triggered when: The Monitor stops sending data, the configured offline threshold is reached, and an active Alert Rule covers the Monitor.
What to do
- Acknowledge the alert to signal someone is responding (and to silence the audible alarm on a Temp Monitor Pro; the Lite has no audible alarm).
- Check power, mounting, and nearby gateway Wi-Fi network connectivity.
- If you can't restore it on the spot, contact your installer or administrator.
- Resolve the alert once the Monitor is back online and reporting.
Data out of sync alert
What it means: A Monitor has not synced its recorded readings to Temperature Monitoring within the configured window (7, 14, or 21 days). Its stored readings are falling behind, even if recent readings are still arriving.
Triggered when: A Monitor's data has not synced within the window set on an active Data out of sync Alert Rule that covers the Monitor.
What to do
- Acknowledge the alert to signal someone is responding.
- In Kio Setup Manager, open the Monitor and select Synchronize Data. See Synchronize a Monitor.
- Confirm the Monitor returns to normal and recent data appears in Temperature Monitoring.
- Resolve the alert once the Monitor's data is in sync.
Alert status: driven by user action
The alert status changes only when a person acts. The alert stays open until someone resolves it with a Corrective Action. That final action produces the compliance alert record.
| Status | Indicates |
|---|---|
| New | Alert triggered, notifications sent. No one has acknowledged it yet. |
| Acknowledged | A team member is responding. On a Temp Monitor Pro, the audible alarm is silenced (the Lite has no audible alarm). The alert remains open until resolved. |
| Resolved | A user selected a Corrective Action. Alert is closed. Compliance alert record locked. |
- Open, requires action: New and Acknowledged.
- Closed, compliance record: Resolved.
Note: If alert escalation is enabled for your organization's Kio account, an unaddressed alert can also show Escalated.
Note: A resolved alert cannot be reopened.
Condition status: driven by the underlying condition
While the alert is open, the condition status reflects whether the original triggering condition is still happening. It changes automatically and does not close the alert.
| Status | Indicates |
|---|---|
| Condition active | The condition that triggered the alert is still present. • Threshold alert: the reading is still out of range. • Hardware error alert: the fault is still reported by the Monitor. • Monitor offline alert: the Monitor is still not reporting. |
| Back to normal | The triggering condition has cleared. • Threshold alert: the reading has returned to range. • Hardware error alert: the fault has cleared. • Monitor offline alert: the Monitor is reporting again. |
Note: Back to normal is not Resolved. Condition status changes automatically based on the triggering condition; alert status only changes when a person acts. An alert can be Back to normal and still open; only selecting a Corrective Action closes the alert and produces the compliance alert record.
Note: Reminders and escalations may continue based on either the alert status (Not Acknowledged, Not Resolved) or the condition status (Condition Active), depending on the trigger condition configured on the Alert Rule. Whether they stop when you acknowledge or resolve depends on those settings; not every reminder stops on acknowledgment or resolution.
Monitor local alerts at the equipment
If you go to the Storage Unit or Room in person, the Monitor itself is signaling. Use this as a quick reference for what you'll see and hear at the device:
| Monitor model | Audio | Visual |
|---|---|---|
| Temp Monitor Pro | Audible alarm | Alert message on the display and a red flashing LED |
| Temp Monitor Lite | None | LED lights red |
Acknowledging the alert in Temperature Monitoring silences the audible alarm on a Temp Monitor Pro. The Lite has no audible alarm to silence. The visual indicator on both models clears only when both the alert is resolved in Temperature Monitoring and the reading is back in range; until both are true, it stays on. Silencing locally on a Pro (center button) does not acknowledge the cloud alert; the alert remains open until someone acknowledges it in Temperature Monitoring.
Viewing measurement and alert history
Selecting a Storage Unit or Room opens its detail view with the full measurement record and its alerts.
- Measurement History: a chart of readings over a chosen time range, with the Threshold Setting overlaid so excursions are visually obvious.
- Alerts: every alert for the Storage Unit or Room, both active (open) and resolved, with each alert's status, who acknowledged and resolved it, and the Corrective Action. Filter the list by status or alert rule.
Use history to investigate trends ("is this fridge drifting?"), to confirm a corrective action worked, or to assemble compliance documentation outside of a formal report.
How Monitoring, Alerts, and Reports differ
| View | What it answers |
|---|---|
| Monitoring | What's the current state? Is everything reporting and in range? |
| Alerts | What needs my attention right now, and what's the history of past alerts? |
| Reports | What's the compliance record for a specific time range, for inspections or audits? |
The same underlying data feeds all three: Monitoring is the live, full-facility picture, Alerts is the action queue, and Reports is the compliance output.
