This quick start maps every Temperature Monitoring setting and points to the article that covers each one. Use it as the reference for ongoing configuration once the system is live.
Who can manage Temperature Monitoring settings
Two roles can manage most Temperature Monitoring settings. The main difference is access to Advanced Preferences, which are company-wide settings.
- Administrator: manages Storage Units, Threshold Settings, and Alert Rules; views and generates reports. Does not have access to Advanced Preferences.
- System Manager: everything the Administrator can do, plus Advanced Preferences. This is the only role that can access Advanced Preferences.
All on-device work (installing, reconfiguring, pausing, and replacing Monitors) happens in the Kio Setup Manager mobile app, not the web app. See Temperature Monitoring user roles.
Storage Units and Storage Unit Types
Keep the inventory of monitored Storage Units current as the facility changes.
- Add, edit, or remove Storage Units as units are added, moved, or retired.
- Add many Storage Units at once from a CSV file when deploying Temperature Monitoring in a new area.
- Group Storage Units with Storage Unit Types for filtering and reporting.
- Open a Storage Unit's profile to view its real-time status, settings, measurement history, and alert history.

Rooms
Rooms cover ambient temperature and humidity in regulated spaces such as clean rooms and medication rooms. A Room appears in Temperature Monitoring only after a Monitor is installed and assigned to it, so Rooms come from Smart Location rather than being created here.
- Assign a Threshold Setting to each Room, one at a time or to several at once.
- Open a Room's profile to view its real-time status, settings, measurement history, and alert history.
- Generate a report from the Rooms list for compliance.

Threshold Settings
Threshold Settings define the acceptable range for each Storage Unit and Room. One setting is reusable across many; editing it updates every assigned Storage Unit and Room.
- Create a Threshold Setting per distinct range and reuse it.
- Update a setting when a regulatory or operational range changes.
- Review where each setting is assigned before editing it.

Alert Rules
Alert Rules define what condition triggers an alert, where the rule applies, what it monitors, and what happens when the alert triggers.
Each Alert Rule includes:

| Alert type | The condition being monitored, such as a Storage Unit threshold excursion, Room threshold excursion, Monitor hardware error, Monitor offline status, or Monitor data out of sync. |
| Location | The campus, building, floor, or room the rule applies to. |
| Monitored entities | The Storage Units, Rooms, or Monitors included in the rule. |
| Actions | Who receives notifications, how notifications are sent, and whether reminders or escalations are used. |
Without an active Alert Rule, Temperature Monitoring can still detect threshold excursions and Monitor issues, but no alert notification is sent.
In Actions, choose the recipients and notification channels, such as email, SMS text, or webhook. You can also add reminders to notify recipients again while an alert stays open, and add escalations so unanswered alerts are sent to a second group.

Monitor devices
Coordinate on-site Monitor work with installers and Facilities Managers. All on-device configuration (install, reconfigure, replace, pause, synchronize) happens in Kio Setup Manager.
- Install Temp Monitor Pro and Temp Monitor Lite devices and assign them to Storage Units or Rooms.
- Reconfigure, replace, and synchronize Monitors as needed.
- Pause a Monitor before maintenance or other planned work that could result in reading excursions or cause a hardware error, such as disconnecting a probe. While paused, the Monitor keeps logging readings, but threshold and hardware-error alerts are paused, so the expected reading excursion or probe disconnected does not trigger an alert. Monitor Offline and Data out of sync alerts are not paused. The assigned Storage Unit or Room shows Paused in the Monitoring view, and the paused period is recorded in measurement history and reports. Turn Paused Mode on and off at the Monitor in Kio Setup Manager.
- Open a Monitor's profile in the web app to view its real-time status, settings, measurement history, and alert history.
- Download calibration certificates for compliance from the Temperature Monitoring web app, not Kio Setup Manager.

Reports
Produce the records auditors and regulators require.
- Generate one-time reports for a specific period or incident.
- Schedule recurring reports for routine compliance cycles.
- Manage report profiles and download generated reports.

Advanced Preferences (System Manager only)
Company-wide settings that apply to every Monitor, Storage Unit, and Room by default. A change affects all monitored locations from that point on. If alerts feel over- or under-sensitive, check these first.
- Temperature unit: Celsius or Fahrenheit. Set it before go-live; changing it later does not convert existing reports.
- Device logging rate: how often Monitors record readings within threshold and out of threshold.
- Out-of-threshold delay: how long a reading must stay out of range before an alert triggers.
- Alert arming delay: how long to wait after a Monitor starts reporting before alerts can trigger.
- Department overrides (optional): if your organization's Kio account has this capability enabled, a System Manager can override any of these defaults for an individual Department under the Additional preferences by location section.

Users and access
Manage who can sign in and what they can do. User access is viewed and managed only by a User Management Administrator in the Kio Cloud Users app. Temperature Monitoring Administrators and System Managers are commonly also assigned this role.
- Assign each person a Temperature Monitoring role.
- Give each Monitoring User and User a home location for their department.
- Manage campus access to limit a system-wide role to specific campuses.
- Review or remove access as staff change roles or leave.
Note: For accounts that use SSO, users and Groups are view-only in the Users app and are managed in your identity provider. The Users app is still useful for verifying each person's roles and access. Home location is always set in the Users app, even for SSO users.
