The Report Profiles tab lists every saved profile. From here you can generate a profile yourself, change its settings, copy it, turn its schedule on or off, or delete it. To create a profile, see Create a recurring or on-demand report.
Before you begin
- You have the Administrator, User, Contact tracer, or Nurse Manager role in Hand Hygiene. The Viewer and Limited User roles do not have access to Reports. The Nurse Manager role sees only Compliance Report and Dispenser Activations profiles.
- Reports is enabled for your organization's Kio account.
What the profiles list shows
Each profile is one row. The list shows these columns:
- Report name: the name you gave the profile. Select the name to open the profile's overview.
- Scope: the staff, locations, or dispensers the profile covers.
- Time range: the relative range or specific dates the report uses.
- Schedule: how often the profile generates, or whether it is on demand only.
- Next run: when the profile generates next.
- Ends: when the schedule stops.
- Last generated: when the profile last produced a report.
- Created by: who created the profile.
You can reorder and resize columns, choose which columns show, and page through the list. To find a profile, enter part of its name in Search by name.
Generate, edit, or delete a profile
Each profile row has a Generate link and an actions menu (⋮).
- Generate: produce a report now, whatever the schedule says. The result appears in the History tab.
The actions menu has these options:
Edit: open the profile's overview, where you change the name, the staff, locations, or dispensers the profile covers, the time range, recipients, or schedule.
Duplicate: create a copy of the profile and open the copy's overview, to use as a starting point for a new one.
Activate Schedule or Deactivate Schedule: turn the schedule on or off. This action appears only when the profile has a schedule. Before a schedule is deactivated, Deactivate schedule? asks you to confirm; select Yes, deactivate. The next scheduled report is canceled.
-
Delete: remove the profile. Delete report profile? asks you to confirm and warns that This action cannot be undone. Select Yes, delete.
Caution: Deleting a profile does not affect reports it has already generated. Past reports stay in the History tab.
Profile overview
Select a profile's name in the list, or select Edit in its actions menu, to open the profile's overview. It has two tabs: Overview and History. The History tab lists the reports this profile has generated.
The summary card shows:
- Status: Active or Inactive.
- Next run: when the profile generates next.
- Last generated: when the profile last produced a report.
- Created by and Created at: who created the profile, and when.
- Updated by and Updated at: who last changed the profile, and when.
From the summary card, you can:
- Rename the profile. Select the name (pencil icon), enter the new Report name, and select Save.
- Select Generate now to produce a report immediately.
- Select Actions to choose Duplicate, Activate Schedule or Deactivate Schedule, or Delete.
The Report scope, Time range, Schedule, and Recipients cards show the profile's settings. To change a setting, select its card, make the change, and select Save.
When you change the Report scope card, choose the report type and entity type and select Next, then select the items to include and select Save. Review scope change then shows the Before and After report type and entity count, with the note "New items added after this change will not be included automatically. Update the scope again to include them." Select Save to apply the change, or Back to change the items.
Inactive and Deactivated profiles
When you turn off a profile's schedule, the change shows in two places:
- In the profiles list, the Next run column shows Deactivated.
- On the profile's overview, Status shows Inactive.
Both describe the same state.
The profile stays saved and stops generating on its schedule. You can still generate it yourself with Generate, and you can turn the schedule back on with Activate Schedule. For the full list of profile and report states, see Report and profile status values.
