Reports produce a PDF record of hand hygiene activity. Generate one when you need it, or save a profile that generates on a schedule and emails the result to the people who need it.
There are three types. The Compliance Report is the documented record used for infection prevention review and accreditation. Dispenser Activations and Low Soap Dispensers cover the dispensers themselves — how much each is used, and which ones need refilling.
Where it is, and who has access
Reports is a top-level menu item in Hand Hygiene. It appears when Reports is enabled for your organization's Kio account.
The Administrator, User, Contact tracer, and Nurse Manager roles have access to Reports. The Viewer and Limited User roles do not. The Nurse Manager role has access to the Compliance Report and Dispenser Activations types only; Low Soap Dispensers does not appear when it generates a report or in its Report Profiles and History tabs. Anyone with access can generate reports and create, edit, and delete Report Profiles — managing profiles needs no additional permission.
The section has two tabs:
- Report Profiles: saved report configurations that generate on demand or on a schedule.
- History: every report that has been generated, including one-time reports and reports produced by a profile.
Two ways to generate
Select Generate Report to open Generate a report. The first choice is how the report is generated:
- One-Time Report: generates once using the filters and time range you choose. It does not create a profile, and the result appears in the History tab. See Generate a one-time report.
- Recurring or On-Demand Report: creates a Report Profile you can keep, edit, and reuse. The profile generates on a schedule or only on demand. See Create a recurring or on-demand report.
Report types
Hand Hygiene has three report types. The type you choose determines which entities the report can cover.
| Report type | What it covers |
|---|---|
| Compliance Report | Hand hygiene compliance for the selected staff or locations over a time range. |
| Dispenser Activations | Dispense event counts for the selected dispensers or locations over a time range. |
| Low Soap Dispensers | The dispensers currently below the soap threshold. Reflects dispenser state at the moment of generation, with no time range. |
For the data each type provides, who uses it, valid entity types, and filters, see Report types. For how time ranges work, see Report time range options.
How a report is built
Both modes use the same wizard. You choose a report type and an entity type, select the specific staff, locations, or dispensers to include, set the time range and recipients, then review and generate. For the step-by-step flow, see Generate a one-time report and Create a recurring or on-demand report.
A recurring profile adds a schedule and a Report name. Saved profiles live on the Report Profiles tab, where you can generate, edit, duplicate, activate or deactivate the schedule, and delete them. See Manage report profiles.
Finding generated reports
Every generated report is saved to the History tab, whether it came from a one-time generation or a profile. Each row shows a download link when the report is ready, or a status while it generates. To find and open a report, see Download a report. For what each status means, see Report and profile status values.
Things to know
- Reports reflect data at the time of generation. Generating the same profile twice on different days can produce different results if new data arrived in between.
- Editing a profile — including what it covers — does not change reports it has already produced. Past reports stay as generated.
- You can email a report to anyone. Add any email address as a recipient — recipients do not need a Hand Hygiene account to receive or open the PDF. Your own email is added as the default recipient.
- The Low Soap Dispensers report reflects the current soap state of the selected dispensers. If dispensers are not reporting soap levels, the report has nothing to show.
