A recurring or on-demand report creates a Report Profile you can keep and reuse. A profile holds the report type, scope, time range, and recipients, so you set them once. From there, the profile can generate on a schedule, or only when you generate it yourself.
A profile requires a Report name. Once saved, it appears in the Report Profiles tab, where you can generate, edit, duplicate, or delete it. To generate a single report without saving anything, see Generate a one-time report instead.
Before you begin
- You have the Administrator, User, Contact tracer, or Nurse Manager role in Hand Hygiene. The Viewer and Limited User roles do not have access to Reports. The Nurse Manager role can create profiles for the Compliance Report and Dispenser Activations types only.
- Reports is enabled for your organization's Kio account.
- Decide which report type the profile should produce and what time range it should cover. See Report time range options.
Create the profile
- Go to Reports.
- Select Generate Report.
- In Generate a report, choose Recurring or On-Demand Report.
- On the Flow selection step, choose Start with Report Type or Start with Entity Type.
- Choose the Report type and Entity type, then select the items to include on the Items selection step. The valid type and entity combinations match a one-time report.
- For staff, the list shows only staff who have a Smart Badge assigned. To find staff without a badge instead, turn on Show Staff without badges. The switch replaces the list rather than adding to it: while it is on, staff with a badge are hidden.
- On the Configure report step, choose whether the profile generates on a schedule:
- To generate it only when you choose to, turn on On demand only. This hides the schedule. The profile generates only when you select Generate from the Report Profiles tab.
- To generate automatically, leave On demand only off and set the schedule (next step).
- Set the schedule:
- Under Generate every, enter a number and choose Days, Weeks, or Months. For example, enter 2 and choose Weeks to generate every 2 weeks.
- For a weekly schedule, set Repeat on for the weekdays it should generate.
- For a monthly schedule, choose First, Second, Third, or Last and a weekday, or choose By day and a day of the month.
- Set the Time of day the report generates.
- Set the First report date.
- Under Recurrence ends, choose Never, On a specific date, or After a set number of occurrences.
- Set the Time range for the report: a Relative range or Specific dates. See Report time range options.
- Under Recipients, choose who receives the PDF by email. You can send it to anyone: add any email address, and a recipient does not need a Hand Hygiene account. Your own email is added as the default recipient, and you can remove it. Recipients apply to both scheduled and on-demand generations.
- On the Summary step, enter a Report name. It's required, and the profile is saved and listed under this name. Review the report type, items, time range, recipients, and schedule.
- Select Create report profile.
Result
The profile is saved and appears in the Report Profiles tab. If you set a schedule, it generates automatically at the chosen time, and each generated report is saved to the History tab. To generate it yourself, change its settings, or turn the schedule off, see Manage report profiles.
