Access to Asset Tracker is managed in the Users app in the Kio Cloud section of the Launchpad, not within Asset Tracker itself. Each person who needs access must have a user profile and be assigned an Asset Tracker role. An app appears on a user's Kontakt.io Launchpad only if they are assigned a role for it.
Roles are assigned by a user with the User Management Administrator role. See Add a user and Assign roles and access to a user.
What makes up a user's access
- Role — each user is assigned one Asset Tracker role, which determines the menus they have access to and their permissions.
- Campus access — set in the Users app, it applies across Kio Cloud apps and can limit a user to specific campuses. By default, a user has access to all campuses.
Asset Tracker roles are not scoped by department – a user's Assigned Home Location does not limit the assets they have access to. Within Asset Tracker, an asset's Assigned Home Location identifies the campus and department the asset belongs and is only used in the Assets Search filter.
Roles
Asset Tracker has four roles. Each user is assigned one.

Settings menu items in Asset Tracker are visible only to the Administrator role.
How users and Groups are managed
- Accounts without SSO: a User Management Administrator assigns Asset Tracker roles directly in the Users app. A Managed Group can assign roles and campus access to several users at once.
- Accounts with SSO: users, roles, campus access, and Groups sync from your organization's identity provider and are view-only in the Users app; you change them in the identity provider.

Roles that live outside Asset Tracker
Some tasks that support Asset Tracker are governed by roles assigned to other apps in the Users app:
- User Management Administrator — required to create users and assign Asset Tracker roles, in the Users app.
- Company Settings Administrator — required for actions available only in Company Settings, such as deleting an Asset or Asset Type, or setting an Asset Type's icon and color. In Asset Tracker, Asset Types, Assets, Room Types, and Room Matching are shared platform components; Room Types and Room Matching are view-only in Asset Tracker and managed in Company Settings.
- Asset Manager (Entity Manager) — view, add, and edit assets, including assigning tags, from the Entity Manager web app.
- Mobile User (Entity Manager) — assign tags to assets from the Kio Entity Manager mobile app.
